Terms and Conditions
Article 1 Definitions
1.1 “Embassy” refers to the Embassy of the People's Republic of China.
1.2 “Consulate General” refers to the Consulate General of the People's Republic of China.
1.3 “Other Consular Institutions” refers to the Consulates, consular offices and related institutions of the People's Republic of China.
1.4 “Embassies and Consulates” refers to the Embassies and/or Consulates General and/or Other Consular Institutions.
1.5 “Chinese Visa Application Service Center” refers to the institution that provides handling services relating to applications for Chinese visas and authentication according to the working procedures set by the Embassies and Consulates, hereinafter referred to as the “Application Center”.
1.6 “Clients” refers to any individual or a third party authorized by the former to submit a Chinese visa or an authentication application to the Application Center, including individuals, travel agencies or other agencies.
1.7 “Clients' Information” refers to the data and information that Clients provide to the Application Center in the form of paper, electronic media or any other form deemed acceptable in order for the Application Center to provide clients with appropriate services.
1.8 “Personal Information” refers to all the required information related to a person included in the application documents submitted by a client, including, but not limited to, the name, gender, date of birth, place of birth, marital status, citizenship, passport information, telephone number, health record, criminal record, residential address, place of employment, family members, as well as any video recording, telephone call recording, email content and other private information.
1.9 “Website” refers to the website located at www.visaforchina.org where online services are provided to clients, such as information announcements, online application form completion, online appointment and application status query services.
1.10 “Basic Services” refers to the services directly related to visa or authentication applications that the Application Centre provides to clients.
1.11 “Extended Services” refers to services provided by the Application Center for the convenience of clients other than the Basic Services.
1.12 “Visa fee” refers to consular fees and charges payable to the Embassies and Consulates and accepted by the Application Centre from applicants on behalf of the Embassies and Consulates at rates prescribed by them, including, but not limited to, regular, express and urgent application fees.
1.13 “Authentication fee” refers to consular fees and charges payable to the Embassies and Consulates and accepted by the Application Centre from applicants on behalf of the Embassies and Consulates at rates prescribed by the Embassies and Consulates, including, but not limited to, the regular application fee, express application fee and urgent application fee.
1.14 “Application Service Fee” refers to the fee charged by the Application Centre to clients for providing them with Basic Services. The fees charged for Extended Services are not included in the Application Service Fee.
1.15 “Pickup Form” refers to the receipt issued by the Application Center to clients who have submitted their Chinese visa applications to the Application Center, and which serve as the only certificate providing payment of the Visa Fee, Authentication Fee and Application Service Fee as well as for collecting their passports, visas and document of authentication from the Application Center.
Article 2 Regarding Basic Services Offered by the Application Center
2.1 To receive clients and classify their application documents in accordance with the requirements of the Embassies and Consulates.
2.2 To provide clients with intermediate business services, including computer entry of basic information, and transmission of passports, visas, documents, document of authentication and Clients' Information between Embassies and Consulates and the Application Centre.
2.3 To collect visa fee and authentication fee in accordance with the requirements of the Embassies and Consulates and to deliver passports, visas and document of authentication to clients on behalf of the former.
2.4 To release and transmit information about Chinese visa policy and consular authentication policy in accordance with the requirements of the Embassies and Consulates in a timely manner through website, information desk, telephone, fax or e-mail.
2.5 The Application Center hereby states in particular that, government functions such as assessing, approving or refusing visa or authentication applications, and issuing visas and authentication documents, come under the exclusive authority of the Embassies and Consulates, and the Application Center is not legally empowered to provide any commitment, guarantee, interpretation or other legal obligations to clients in relation to that exclusive authority.
Article 3 Regarding Use of the Visa Application Services
3.1 Clients acknowledge and hereby confirm that the Application Center is not involved in the visa assessment and consular authentication’s decision-making process. The Embassies and Consulates have the authority to decide whether authentication or a visa will be issued or not, the type of a visa to be issued as well as its validity, duration of stay and number of entries in accordance with China's relevant laws and regulations. A client is required to pay the Application Service Fee to the Application Centre regardless of approval or disapproval of an application by the Embassies and Consulates. The Application Service Fee is non-refundable.
3.2 Clients can make inquiries to the Application Center via its website or through the telephone. Clients are required to acknowledge that the Application Center is a non-governmental organization, and its provision of inquiry services for clients is free and based on its unilateral understanding of clients’ inquiries and the limited information known and mastered by it in order to provide assistance in regard to visa or authentication applications. No matter what the circumstances are, it is not inferred that the Application Center has made any promise or assurance, nor does it bear any other legal responsibility for the answers to clients’ queries.
3.3 Clients are required to submit to the Application Center all the relevant information required for a visa or authentication application, and ensure that the information provided is true, reliable and complete. Clients acknowledge and agree that acceptance by the Application Center of such information does not mean that such Clients' Information as is provided is deemed sufficient. The Embassies and Consulates have the right to request a client to provide additional supporting documents or request the applicant to attend an interview.
3.4 Clients are advised to carefully check all the information on the Pickup Form and ensure it is correct when receiving this document issued by the Application Center. If any mistakes are found, clients must contact the Application Centre immediately, and it will make necessary correction as soon as possible.
3.5 Clients must carefully check all the information on the visa or document of authentication issued to them and ensure it is correct at the time of collection of the passport containing the visa or document of authentication. If any mistakes are found, clients must contact the Application Center immediately. The Application Center will try its best to help them with modification or re-issuance of the visa or document of authentication. Clients acknowledge that modifying or re-issuing a visa or document of authentication may involve new fees if the information on the issued visa is found incorrect due to the reasons or causes assignable to them.
3.6 To ensure service safety and quality, a network monitoring system and telephone recording system have been installed by the Application Center. The actions of clients at the Application Center as well as any telephone conversations between clients and the Application Center may be recorded and preserved, and clients hereby acknowledge and agree to this arrangement.
3.7 Unless otherwise notified by the Application Center , clients should collect their passports and visas before the expiry of the visa. The Application Centre accepts no obligation of taking care of any passport if clients fail to collect the documents before visa expiration. After the expiry of the visa, or 365 days from the decision by the Embassies and Consulates to issue or refuse the visa application, the Application Centre has the right to deliver the relevant travel documents to the Embassies and Consulates, which will return them to the competent authority of the passport issuing country.
Clients should collect their document of authentication as soon as possible. The Application Center cannot accept any obligation to take care of any document of authentication if clients fail to collect it before the expiration of the document of authentication. After the expiry of the visa, or 365 days of the decision by the Embassies and Consulates to issue or refuse the authentication application, the Application Centre has the right to deliver the relevant documents to the Embassies and Consulates.
Article 4 Regarding Use and Protection of Personal Information
4.1 Clients hereby agree and confirm that their personal information can be collected, transmitted, stored, processed and used by the Application Centre in accordance with this article whether this information is transmitted to the Application Centre through the Internet or directly by the clients concerned or their entrusted representative.
4.2 In order to process Clients' visa or authentication applications, the Application Centre must collect related personal information about the client from the application documents submitted and enter the information into its computer system.
4.3 The Application Centre may collect client personal information through telephone, email, fax, application documents (including passports and photos), online application system, online appointment system, video monitoring system and other media.
4.4 Personal information will be submitted to the Chinese Embassy or Consulate-General through the Application Centre's proprietary channel and may be transferred to and stored in countries other than the client's country of residence, such as the People's Republic of China.
4.5 Personal information, including video recording, telephone recording, electronic information, etc., may be collected for later use by the Application Centre when necessary (e.g., when it is requested by the competent department of the local government or for purpose of internal supervision on service).
4.6 Physical information provided by Clients will be transferred to and stored at the Chinese Embassies or Consulates. The Application Centre will save the collected clients' information in physical or electronic form and take reasonable administrative measures in order to prevent information leakage or unauthorized use, and ensure only proper use of all the information.
4.7 The Application Centre will collect, transfer, store, process and use all client information in accordance with local laws for the purpose of fulfilling its legal responsibilities and obligations, including but not limited to applying for Chinese visas and authentication.
4.8 The Application Centre will take every reasonable precaution to strictly ensure the safety of the personal information and documents of the applicants in line with relevant laws of the resident country, but is not be liable for any consequences due to events or acts beyond its reasonable control such as natural disasters (Force Majeure), unforeseen accidents and larceny, etc, which may occur when the information and documents are in transit between the Application Centre and the Embassies or Consulates.
Article 5 Regarding Liability
5.1 If a passport or document is lost or damaged while in the custody of the Application Centre, the Application Centre will bear the reasonable cost incurred by applicants for replacement of passports following the normal application procedures with their country’s passport authority or for replacement of documents. The cost will be reimbursed on presentation of the copy of the receipt issued by the passport or relevant authority. However, this agreement does not mean that the Application Centre will be held liable in any way.
5.2 Clients must make their visa or authentication applications at an appropriate time in accordance with their travel or use arrangement. Under no circumstances will the Application Centre be responsible or liable for any delay of travel or use arrangement as a result of a client's inappropriate action in regard to the time of submitting the application or the assessment result of the Embassies and Consulates.
5.3 If a client elects to apply by post, or requests return delivery by post in regard to a processed application, the Application Centre will not be responsible or liable for any delay, delivery to a wrong address, or damage to or loss of the documents by any mail service or delivery service company or not by the Application Centre.
5.4 To the maximum extent permitted by law, the Application Centre expressly disclaims all conditions and warranties, express or implied, in connection with the visa or authentication application services other than any conditions or warranties expressly stated in these terms. Where the law precludes such exclusion and implies certain terms, conditions and/or warranties into the terms ("Implied Terms"), the liability of the Application Centre for a breach of such Implied Terms shall be limited, at the option of the Application Centre, to any one or more of the following:
(a) Re-supply of the relevant application services; or
(b) Cost of the re-supply of the relevant application services; or
(c) Any amount paid by the Client to the applicable government department or authority in regard to the relevant application services (upon presentation of a proper receipt).
5.5 Clients acknowledge and agree that under no circumstances will the Application Centre be liable to them or anyone claiming through them for any indirect, incidental, special and/or consequential losses or damages of whatever nature, or for loss or profits, loss of opportunity, loss of business or goodwill or interruption of business, whether arising out of or in connection with their application and/or any of the visa application services, and whether or not relating to any act, error, omission or negligence by the Application Centre or any officer, agent, employee and representative of the Application Centre.
5.6 All terms hereof are governed by laws of the respective state or province where the Application Centre is located. Litigation relating to visa or authentication services will be heard by a court in the resident state or province.
Article 6 Other Terms
6.1 The Application Centre, with sole discretion, may change, amend, cancel or withdraw any or all of the terms and conditions mentioned herein at any time without any prior notice. If a client is dissatisfied with the changes being made, the client's sole and exclusive remedy is to refuse the services the Application Centre provides.
6.2 The client hereby agrees to accept and confirm that the applicant and / or his / her representative, prior to submitting the visa or authentication application, has read, understood and agreed to be bound by, without limitation or qualification, all of the terms, conditions and details provided herein.
Step 1 Prepare Document
Here are the documents you shall prepare before submission:
1. Basic Requirements
(1) Passport
a). Original passport with at least six months of remaining validity and with at least 2 pieces of blank visa page.
If you are a dual national or multi-national, you are requested to provide all current valid passports in your posession. Additionally, you may be also required to provide your previous passport(s) in support of your application.
b). A photocopy of the passport (the data page that includes the photo, personal information and signature page)
*One recently-taken colour passport photo (bare-head, full face) against a light background (size: 48mm x 33mm) attached.
* Application Form. Fill the application form online and print out the completed application form once finished and sign where appropriate.
Please ensure that you have uploaded the correct photograph of the person detailed in the application form when filling in the online application. The visa center will reject any application where the uploaded image is of another person. A new application form with an appropriate photograph will be requested if the application form contains another person's photo. If the online form indicates that the photo is not qualified and cannot be uploaded successfully, please be sure to bring an appropriate photograph to the center when you come to submit your application.
If you are not applying for a visa in the country of your citizenship, you must provide the original and photocopy of your UK legal status(work visa, study visa or residence permit).
(4) Photocopy of previous Chinese visas (applicable for those who have obtained Chinese visas before).
If you have obtained Chinese visas before, you should provide the photocopy of the latest Chinese visa.
(5) Photocopy of previous Chinese passports or previous Chinese visas(applicable for those who were Chinese citizens and have obtained foreign citizenship).
If you are applying for a Chinese visa for the first time, you should provide the last Chinese passport held and a photocopy of its data page.
If you have obtained Chinese visas before and apply for a Chinese visa with a renewed foreign passport that does not contain any Chinese visa, you should provide original previous passport(s)and present the photocopy of the previous passport's data page and the photo page if it is separate, as well as the previous Chinese visa page (If your name on the current passport differs from that on the previous one, you must provide an official document of name change).
2. Supporting Documents
C-Visa (for crew members)
1.A letter of guarantee issued by Nepali overseas services companies, or

D-Visa (for residing in China permanently)
The original and photocopy of the Confirmation Form for Foreigners Permanent Residence Status issued by the Ministry of Public Security of China.
*Holders of D Visa shall, within 30 days from the date of their entry, apply to the exit/entry administrations of public security organs under local people's governments at or above the county level in the proposed places of residence for foreigners' residence permits.
F-Visa (for short-term exchanges, visits or study tours)
1) Invitation Letter (TE) or (PU) (set format), issued Invitation Verification Letter, by a relevant entity or individual in China which should contain:
(a) Information on the applicant (full name, gender, date of birth,passport number etc.)
(b) Information on the planned visit (purpose of visit, arrival and departure dates, place(s) to be visited, relations between the applicant and the inviting entity or individual, financial source for expenditures)
(c) Information on the inviting
entity or individual (name, contact telephone number, address, official stamp,
signature of the legal representative or the inviting individual)
2) COVID-19 Vaccination certificate.
G-Visa (for transit through China)
(1) Onward air (train or ship) ticket with confirmed date and seat to destination
(2) Valid visa for the destination.
J1-Visa (for foreign journalists stationed in China for more than 180 days)
(1) Visa Notification Letter issued by the Information Department of the Ministry of Foreign Affairs of China
(2) Official letter from the media organization for which the journalist works

J2-Visa (for foreign journalists going to China for short-term news coverage)
(1) Visa Notification Letter issued by the Information Department of the Ministry of Foreign Affairs of China or other concerned units in China
(2) Official letter from the media organization for which the journalist works.
L-Visa (for going to China as a tourist)
(1) Air ticket booking (round trip), hotel reservation in relevant cities in China and daily itinerary, or invitation letter issued by a relevant entity or individual in China which contain:
a) Information on the applicant (full name, gender, date of birth,passport number etc.)
b) Information on the planned visit (arrival and departure dates, place(s) to be visited, etc.)
c) Information on the inviting entity or individual (name, contact telephone number, address, official stamp, signature of the legal representative or the inviting individual)
(2) Personal bank statement of last three month (for first-time applicants)
M-Visa (for going to China for commercial and trade activities)
(1) Documents on the commercial activity issued by a trade partner in China, or trade fair invitation or other invitation letters issued by relevant entity or individual which contain:
a) Information on the applicant (full name, gender, date of birth,passport number etc.)
b) Information on the planned visit (purpose of visit, arrival and departure dates, place(s) to be visited, relations between the applicant and the inviting entity or individual, financial source for expenditures)

Q1-Visa (for visiting family members of Chinese citizens or foreigners with Chinese permanent residence, intended duration of stay exceeding 180 days)
(1) An invitation letter issued by a Chinese citizen or a foreign citizen with a Chinese permanent residence permit who lives in China. The invitation letter should contain:
a) Information on the applicant (full name, gender, date of birth,passport number etc.)
b) Information on the visit ( purpose of visit, intended arrival date, place(s) of intended residence, intended duration of residence, arrival and departure dates, relations between the applicant and the inviting entity or individual, financial source for expenditures)
c) Information on the inviting individual (name, contact telephone number, address, official stamp, signature of legal representative or the inviting individual, etc.)
(2) Photocopy of Chinese ID of the inviting individual or foreign passport and permanent residence permit
(3) Original and photocopy of certification (marriage certificate, birth certificate, certification of kinship issued by Public Security Bureau or notarized certification of kinship) showing the relationship of family members between applicant and inviting individual.
(4) Bank statement and proof of address of the inviting individual in China
(5) COVID-19 Vaccination certificate.

*Holders of Q1 Visa shall, within 30 days from the date of their entry, apply to the exit/entry administrations of public security organs under local people's governments at or above the county level in the proposed places of residence for foreigners' residence permits.
Q2-Visa (for visiting relatives who are Chinese citizens or foreigners with Chinese permanent residence, intended duration of stay no more than 180 days)
(1) Invitation letter from a Chinese citizen or foreign citizen with Chinese permanent residence permit
(2) Photocopy of the inviting

R-Visa (for high-level talents or whose skills are urgently needed in China)
The applicant should submit relevant certification in accordance with relevant regulations, and meet the relevant requirements of the competent authorities of the Chinese government on high-level talents and individual with special skills urgently needed by China,
S1-Visa (for visiting foreigners working or studying in China to whom they are spouses, parents, sons or daughters under the age of 18 or parents-in-law, intended stay in China exceeds 180 days)
(1) Invitation letter from the inviting individual which contains:
a) Information on the applicant (full name, gender, date of birth,Passport number etc.)
b) Information on the visit (purpose of visit, arrival and departure dates, place(s) to be visited, relations between the applicant and the inviting individual, financial source for expenditures, etc.)
c) Information on the inviting individual (name, contact telephone number, address, signature, etc.)
(2) Photocopy of the inviting individual's passport and valid residence permit or valid work visa.
(3) Original and photocopy of certification (marriage certificate, birth certificate, certification of kinship issued by Public Security Bureau or notarized certification of kinship) showing the relationship of immediate family members between applicants and inviting individual
(4) Bank statement and proof of address of the inviting individual or of the applicant during his or her stay in China
(5) COVID-19 Vaccination certificate.
*Holders of S1 Visa shall, within 30 days from the date of their entry, apply to the exit/entry administrations of public security organs under local people's governments at or above the county level in the proposed places of residence for foreigners' residence permits.
S2-Visa (for visiting family members who are foreigners working or studying in China with intended stay in China no more than 180 days)
(1))An invitation letter issued by the inviting individual (a foreigner who stays or resides in China for work or studies) which contains:
a) Information on the applicant (full name, gender, date of birth,Passport number etc.)
b) Information on the visit (purpose of visit, arrival and departure dates, place(s) to be visited, relations between the applicant and the inviting individual, financial source for expenditures, etc.)
c) Information on the inviting individual (name, contact telephone number, address, signature, etc.)
(2) A photocopy of the inviting individual's (a foreigner who stays or lives in China for work or studies) passport and residence permit
(3) Original and Photocopy of certification (marriage certificate, birth certificate or notarized certification of kinship) showing the relationship of family members between the applicant and the inviting individual.
(4) Bank statement and proof of address of the inviting individual or of the applicant during his or her stay in China
(5) COVID-19 Vaccination certificate.
For private affairs, documentation identifying the nature of the private affairs should be provided as required by the consular officer.
"Family members" refers to spouses, parents, sons, daughters, spouses of sons or daughters, brothers, sisters, grandparents, grandsons, granddaughters and parents-in-law.
X1-Visa (for studying in China for more than 180 days)
(1) Original and photocopy of Admission Letter issued by a school or other entities in China
(2) Original and photocopy of "Visa Application for Study in China" (Form JW201 or Form JW202)
(3) For self-funded students, bank statement should be provided.
*Holders of X1 Visa shall, within 30 days from the date of their entry, apply to the exit/entry administrations of public security organs under local people's governments at or above the county level in the proposed places of residence for foreigners' residence permits.
X2-Visa (for studying in China for no more than 180 days)
Original and photocopy of Admission Notice issued by a school or other entities in China
For self-funded students, bank statement should be provided.
Z-Visa (for working in China)
1. One of the following documents:
(1) Foreigners Employment Permit or Notification Letter of Foreigner's Work Permit in the People's Republic of China issued by Chinese government authorities for Human Resources and Social Security.
(2) Permit for Foreign Experts Working in China issued by the State Bureau of Foreign Experts.
(3) Registration Certificate of Resident Representative Offices of Enterprises of Foreign Countries (Regions) issued by Chinese authorities of industrial and commercial administration, as well as Invitation Letter of Duly Authorized Entity or Confirmation Letter of Invitation issued by relevant Chinese entities.
(4) An approval document for commercial performances issued by the Chinese government authorities for cultural affairs or Invitation Letter of Duly Authorized Entity or Confirmation Letter of Invitation issued by relevant Foreign Affairs Office of provincial governments of China.
(5) Letter of Invitation to
Foreigners for Offshore Petroleum Operations in China issued by China National
Offshore Oil Corporation;
2. COVID-19 Vaccination certificate.
*Holders of Z Visa shall, within 30 days from the date of their entry, apply to the exit/entry administrations of public security organs under local people's governments at or above the county level in the proposed places of residence for foreigners' residence permits.
Special Reminder
(1)Each applicant must provide all the documents mentioned above. Applicants may not share the supporting documents for their applications.
(2) All the Documents except required original, may be in the form of fax, photocopy or scanned copy, but the consular officer may require the applicant to submit the original documents. All non-original documents must be clear and neat. An issuer of invitation letter who is an individual in China should also provide a photocopy of his/her Chinese ID.
(3) If the applicant is a dual national or multi-national, please provide all current valid passports in his/her possession. Additionally, the previous passport(s) may also be required in support of the application.
(4) If necessary, the consular officer will require the applicant to provide other proof documents or supplementary materials, i.e. naturalization paper, bank statement, tax report, proof of relation ect., which may not be listed in the website, in accordance with individual cases or different circumstances.
(5)The consular officer will decide on whether issue the visa or not and on its validity, duration of stay and number of entries in light of specific conditions of the applicant.
Step2 Submit visa application at the Center
1. Who can apply at the Visa Centre?
(1)
The Visa Centre accepts visa applications from Nepalese citizens or citizens of other countries staying in Nepal with appropriate legal status. However, we cannot accept the application if you are not physically in Nepal when your application is being submitted.
If you are not currently in the country in which this centre is located, please apply from where you normally reside, or apply after you return to the country. Application acceptance is ONLY available to people lawfully residing in the country in which this Visa Centre is located.

2. How far in advance should I submit my
application?
You should make your application well in advance of the planned travel date.
You are advised to apply ONE month in advance but no earlier than THREE months.
Visa processing time varies with location. Please click here for the processing time of this Visa Centre. However, you should be aware that actual processing time may be longer than that posted on the web site in certain circumstances. If there is such a delay, you will be notified by the Visa Centre staff.
3. Is an appointment required to submit the
application?
To ensure a smooth operation and smooth out the flow of applicants over the
working day, the Visa Centre strongly encourages you to make an
appointment well in advance for submitting a visa application. Generally
speaking, the submission peak hours are between 11:00 a.m. and 1:00 p.m., so
please try to avoid this period if possible. If you have made an online appointment in advance, you
can either show a printout of the appointment information or e-mail or simply
mention your name upon arrival at the Visa Center, and then you will be
given a queue number on a first-come-first-served basis. When your number is
called, please go to the counter accordingly to submit your application.
